Invitation to be included on the approved suppliers’ list for goods and services 2026-2029 for Hivos Southern Africa

Hivos in Southern Africa – covering Zimbabwe, Zambia, Malawi, Mozambique and South Africa – is inviting current and prospective suppliers of goods and services to apply for inclusion in its supplier database for the period 2026-2029. The invitation spans over 40 categories of goods and services, including office stationery, ICT hardware and software, fuels and lubricants, motor vehicle services, security services, CCTV and alarm systems, office furniture, cleaning and sanitary services, catering, printing and publishing, travel and accommodation, construction and renovation works, human resources and legal consultancy, creative design, multimedia production, events management, branded merchandise, and insurance services, among others.

This is only a supplier registration process and does not constitute an invitation to do business or any contractual obligation on the part of Hivos; only selected suppliers will be notified of the outcome. Suppliers covering multiple categories should submit separate documents for each category. Applicants should submit certified scanned copies of supporting documents including a Certificate of Registration or Incorporation, CR14/CR6 list of directors, CR6/CR5 business address, current Tax Clearance Certificate, trade license, company profile, at least three verifiable references and payment terms, full banking details, and any other relevant certificates depending on the nature of the goods or services offered. Hivos may conduct physical verification of vendors’ premises and contact their clients to crosscheck information provided before finalizing its decision.

Applications should clearly mark the category applied for and be submitted via email addressed to the Administration Assistant, Hivos Southern Africa, by no later than 14 September 2026 at 16:00 CAT. Each submission should clearly indicate the category number and product/service name being applied for in the headline. Submissions received after the stipulated time and date will not be accepted. Hivos does not charge any fee for registration of suppliers.
